Managing Organizations, Businesses, Projects & Users

Managing all of your Account Settings is a simple process, broken down by Organization, Business, Project, and User.

There are four levels of account management in ROUX: Organization, Business, Project, and Users.

To manage these four different account levels, click on the hamburger menu in the top left navigation and under "Account Settings" you will see these four options:

Let's dive in to each of these four levels of account management.

Business Settings

Under "Account Settings" in the hamburger menu, click on Business Settings then select your business from the Manage Businesses page.

There are five sections on the Business Settings page that you can manage:

Below is a brief overview of each section.

Business Info

You can provide the following information for your business:

  • Name

  • Website URL

  • Address Line 1

  • Address Lin 2

  • City

  • State

  • ZIP / Post Code

  • Country

  • Business Phone Number

This information can be updated at any time. Once complete, click Update.

Status

There are two status options for your business: Active and Inactive.

For users on the Growth and Pro plans, your business status should always remain Active. For Enterprise users that manage multiple businesses (such as agencies), business status can be updated to Inactive when that business is no longer part of your portfolio.

Projects

The Projects section shows all open projects for your business. By clicking on the project, you will be redirected to the Project Settings page for that project.

Growth plan users can have up to one project, Pro plan users can have up to three projects, and Enterprise users have access to unlimited projects.

Users

There are two ways to add users in ROUX: 1) adding users at the Business level and 2) adding users at the Organization level. Users added at the Business level are primarily view-only, whereas Organization level users have the option for a more full permissions set.

The Users section of the Business Settings page will display all users that have been added to the Business level only. If no users have been added to that level, you will be alerted that the business currently doesn't have any users.

When users have been added at the Business level, they will be listed in the Users section:

To edit a user and their permission set, click on the pencil icon. A modal will pop up where you can edit that user's project permissions.

You will have the option to update the user's project permissions in the Permissions dropdown, as well as their Title/Role, and Employee vs. Admin status. Any user type can also be granted Finance permissions.

Once complete, click Set Permissions.

Alternatively, if you wish to remove the user entirely, click Remove.

Business Invites

The Business Invites section is where invite users to a business only, not your entire organization. To start, click Invite Users to Business.

You will taken to the Business Invites page, where you can provide the following information:

  • Email

  • First Name

  • Last Name

  • Job Title

  • Phone #

By default, the Employee toggle is on. If you wish to make the user an Admin, click that toggle. If you want the user to manage financial data for the business, toggle on the Finance option. This can be done for both employee types.

Once complete, click Continue to Project Permissions.

A modal will pop up where you can select the permissions the user will be granted:

  • Create New Creative

  • Review and Approve Creatives

  • Manage Projects

  • Manage Users

  • Reports

You can click each item individually to add it to the permission set, or you click the checkbox next to Select all permissions for each project if you want to grant all permissions to the user.

Once complete, click Send Invite. The user will receive an email that will guide them through the account setup process.

Project Settings

Under "Account Settings" in the hamburger menu, click on Project Settings then select your project from the Manage Projects page.

If you haven't yet created a project (or if you're on the Pro Plan or higher, with the ability to add multiple projects), you can do so by clicking + New Project in the top right corner.

Otherwise, click on the project that you want to manage. There are up to seven sections on the Project Settings page, depending on your plan type:

Below is a brief overview of each section.

Project Info

You can provide the following information for your project:

  • Name

  • Business

  • Default Facebook Account ID

  • Default Meta Pixel ID (Optional)

  • Primary Facebook Page (Optional)

  • Primary Instagram Account (Optional)

  • Secondary Facebook Page (Optional)

  • Secondary Instagram Account (Optional)

This information can be updated at any time. Once complete, click Update.

Campaigns

The Campaign section will show a list of all campaigns that have been added to your project. If no campaigns have been created yet, you will be alerted that the project does not have any campaigns.

You can also add a new campaign from here by clicking + Add Campaign.

To open an existing campaign, click on the campaign name. This will take you to the Info tab for that campaign.

Analytics

The Analytics section is only available on Enterprise plans.

The Updates dropdown allows you to choose the frequency that Business Users will see analytics updates on ROUX's various dashboards.

There is also an option to toggle on or off Targets on Report.

Once you're happy with the settings, click Update.

Analytics Platform Options

In the Analytics Platform Options section, you can control the analytics breakdown options for Facebook Ads.

With Insight Labels, you can control which metrics are displayed by default, as well select any metrics you wish to exclude from the reporting options entirely.

Once you're finished updating settings, click Save.

If Custom Conversions are created in your ad account, a similar modal will display where you will be able to toggle on the metrics by default, or exclude them from the reporting options entirely.

Once you're finished updating settings, click Save.

If there are no custom conversions exist in the account, you will receive an error message:

With Targets, you have the option to change the Name and Description of the target breakdown for metrics displayed in Facebook Ads.

You can also change the order in which the columns are displayed by dragging and dropping them to the desired position.

Once your updates are complete, click Save.

Email Marketing Analytics

If Klaviyo is used as your email marketing platform, it can be integrated with ROUX to display your analytics.

The first step is to connect Klaviyo with ROUX, if you have not done so already.

Next, select Klaviyo as the Marketing Platform, switch Enabled to Yes, and click Update.

Email & SMS will now display under Analytics in the main navigation menu.

Status

By default, any new project you create will have an Active status. Depending on your plan type, you may need to make a project Inactive before you can create a new one.

For example, if your store was on WooCommerce but is transitioning to Shopify, before you could create your Shopify project in ROUX you would first need to make your WooCommerce project inactive.

Project Users

In the Project Users section, all Business users with project access will be displayed. Organization users will not be displayed here.

To modify user permissions, click the gear icon next to the user's name to open the Update Project User Permissions modal.

Toggle permissions on or off and click Update when complete.

Manage Users

Under "Account Settings" in the hamburger menu, click on Manage Users.

From here you can either click on the user you want to manage or create a new user by clicking + New User in the top right corner.

Otherwise, click on the user that you want to manage. There are up to six primary sections on the Manage Users page, depending on the user type:

Below is a brief overview of each section. In addition to the sections above, at the bottom of the Manage Users page are two sections: Businesses and Projects. This lists the businesses and projects that the user has access to.

Essentials

The Essentials section contains the user's Email, First Name, Last Name, and User Type. All but the user type can be edited, which will be set as either Organization or Client. For more details about the different types of users, you can read this guide.

Account Status

The Account Status section is where you can set a user's ROUX account access to either Active or Inactive.

Change Password

Admin level users have the ability to reset the passwords for another user. If required, Enter New Password then Confirm New Password and click Change to update.

Details

If desired, you can enter user details, such as Job Title, Phone, Phone Ext, and Mobile Phone. This is primarily useful for Enterprise level users who want to store client contact information within ROUX.

Address

If desired, you can enter a user's address with the following information:

  • Line 1

  • Line 2

  • City

  • State / Country

  • ZIP / Post Code

  • Country

Similar to Details, this section is primarily useful for Enterprise level users who want to store client information within ROUX.

Manage Organization

Under "Account Settings" in the hamburger menu, click on Manage Organization then select your organization from the Manage Organizations page.

There are two sections on the Organization Edit page that you can manage:

Below is a brief overview of each section.

Organization Info

The Organization Info section contains the following information:

  • Name

  • Subdomain

  • Organization Type

  • Plan

  • Address Line 1

  • Address Line 2

  • City

  • State / Country

  • ZIP / Post Code

  • Country

  • Organization Phone Number

All of this information can be edited except Subdomain, Organization Type, and Plan. If you wish to update any of these preset fields, please reach out to ROUX about updating your plan type.

By default, no subdomain will be set for Growth and Pro plan users. For Enterprise level users, the option is available to update your subdomain, which would change the URL used to access ROUX from app.roux.ai to your-subdomain.roux.ai.

Facebook Business Manager

If you've added a new asset to your Business Manager, such as a pixel or a Facebook page, you'll need to re-sync your BM with ROUX. To do so, simply click Re-Sync.

Once the sync is complete your asset will be available in ROUX!
